How we handle your data

Rapid Print Pro prints and delivers your work. To do that we need some information about you, and we use a handful of tools to run the shop, take payment and understand what's working. This page says exactly what, why, and what you can do about it. Plain English, no surprises.

Who we are

1. What we collect and why

2. Cookies and tracking

When you first visit, a banner lets you accept all, reject non-essential, or choose. Essential cookies are always on because the basket and checkout don't work without them. Everything else is off until you say yes. You can change your mind any time from the "Cookie settings" link in the footer.

We use Google Consent Mode, so the Google and Microsoft tags respect your banner choice automatically.

3. The instant quote box and AI assistants

The "Ask for a price" box on the site, and our apps for Claude and ChatGPT, turn what you type into a price. Here's what happens to that text:

  • It's sent to our own server, which reads it to work out the product, size and quantity. To understand free-text requests we use an AI model provided by Anthropic; the text of your request is sent to them for that purpose only. It is not used to train their models.
  • Prices come from our live price list, not from the AI.
  • We don't ask for or store your name, email or address at this stage. Quote requests aren't linked to you unless you go on to order. Don't put personal details in the box β€” it doesn't need them.
  • If you use our app inside ChatGPT or Claude, OpenAI or Anthropic handle the conversation under their own privacy terms; we only receive the request text they pass to us and send back a price and a link to our site. Nothing is bought inside the assistant β€” ordering, artwork upload and payment always happen on rapidprintpro.com.

4. Who else sees your data

Only companies that help us do the job, each under a contract that limits what they can do with it:

  • Infigo β€” runs the online store and holds your account and orders.
  • Supabase β€” our internal order and production system.
  • Stripe, PayPal, Klarna, Alipay β€” payments.
  • Xero β€” invoicing and accounts.
  • Couriers (our same-day London riders, DPD/APC for next-day) and AfterShip for tracking β€” your name, address and phone so the parcel gets to you.
  • Microsoft 365 and Brevo β€” email to and from us.
  • Anthropic β€” reading free-text quote requests and helping us draft replies to emails (a person checks before anything is sent).
  • Cloudflare β€” hosting and security.
  • Google, Microsoft, Meta, TikTok, tawk.to β€” only as described in section 2, and only with your consent where required.

Some of these are outside the UK (mainly the US). Where that's the case, transfers are covered by the UK's International Data Transfer Agreement or an adequacy decision. We never sell your data.

5. How long we keep it

  • Orders, invoices and account details: 6 years after the order, because HMRC requires it.
  • Artwork files: 12 months after the order so we can reprint or fix a problem, then deleted. Ask sooner if you'd like them gone.
  • Emails and chat: up to 2 years.
  • Quote requests: not stored against you; server logs are kept for 30 days for security.
  • Ad click references: 90 days.

6. Your rights

Under UK GDPR you can ask us to: tell you what we hold about you; correct it; delete it; stop using it for marketing; restrict or object to how we use it; or give it to you in a portable format. Email hello@rapidprintpro.com and we'll respond within one month. We may need to confirm it's you first.

If you're not happy with how we've handled something, you can complain to the Information Commissioner's Office at ico.org.uk or 0303 123 1113. We'd rather you told us first so we can fix it.

7. Marketing

We only email you about offers if you've ticked the box or you're an existing customer and it's about similar products, and every email has an unsubscribe link. We don't do cold calls.

8. Security

The site runs over HTTPS, payments never touch our servers, our internal systems require staff logins, and access to customer data is limited to the people who need it to do your job. No system is perfect; if we ever have a breach that affects you we'll tell you and the ICO as the law requires.

9. Children

Our services are for businesses and adults. We don't knowingly collect data from anyone under 16.

10. Changes

If we change how we use your data we'll update this page and, for anything significant, tell existing customers by email.
